Medical Receptionist - Contour Dermatology and Cosmetic Surgery Center - Rancho Mirage, CA






POSITION: Receptionist
R* *EPORT TO: Front Office Supervisor
SCHEDULE: Five (5) eight (8) hour shifts, Monday through Sunday Availability
REQUIRED EDUCATION AND EXPERIENCE :


  • High School Diploma or Equivalent

  • Previous medical experience preferred but not require

  • Knowledge of administrative and clerical procedures

  • Knowledge of computers and relevant software applications

  • Knowledge of customer service principles and practices

  • Computer literate (Microsoft Word and Excel)

  • Sales background and ability to recommend and sell

GENERAL PURPOSE : The purpose and objective of the receptionist position is to ensure that the arrival and/or departure process of the patient or visitor encounter is professional, thorough, timely and efficient in all Contour Dermatology and Cosmetic Surgery Center locations.


JOB TASKS AND RESPONSIBILITIES:
CHECKING IN


  • Welcomes and greets all patients and visitors with a warm sincere greeting

  • Responsible for keeping reception area and lobby clean and organized

  • Registers new patients and updates existing patient demographics by collecting patient detailed patient information including personal and financial information.

  • Collect all insurance information and update in system by checking eligibility

  • Ensure that patients are aware of all pending balances and copays needed before being seen

  • Facilitates patient flow by communicating with patients possible delays

  • Responds to patients’, prospective patients, and visitor inquiries in a courteous manner

  • Allow patients the opportunity to know monthly specials and upcoming events

  • Responsible for having all forms completed such as consents, financial agreements, etc.

  • Protects patient confidentiality

  • Guarantee that all forms are scanned into patients chart by end of day

CHECKING OUT


  • Provides each patient with a fond farewell and a thank you.

  • Ensures that all questions patient has were taken care of and that patient leaves office happy.

  • Schedules patients next appointment

  • Bills out patient for services rendered same and as well as collect payment

  • Reconcile all financial reports for all end of day activity reports

PRIMARY PHONE


  • Answer phones and operate a multiline in an efficient manner (within 3 rings, less than 30 sec hold time)

  • Route calls to specific people with details to provide to co-worker regarding patients requests/concerns

  • Take and relay messages with full detail in necessary

  • Optimizes patients’ satisfaction by scheduling appointments within provider templates

  • Uses basic telephone etiquette skills (i.e. smile, be polite, sincere, etc)

  • Maintain patient confidentiality by helping patients feel secure about being treated at our office

  • Ensure work area at reception desk is tidy

  • Gather personal and insurance information

  • Perform basic bookkeeping, filing, and clerical duties

GENERAL DUTIES


  • Comforts patients by anticipating patients’ anxieties; answering patients’ questions; maintaining the reception area.

  • Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs.

  • Helps patients in distress by responding to emergencies.

  • Protects patients’ rights by maintaining confidentiality of personal and financial information.

  • Maintains operations by following policies and procedures; reporting needed changes.

  • Contributes to team effort by accomplishing related results as needed.

  • Educate and inform patient’s about skin care products

REQUIRED FUNCTIONS:


  • Ability to work at all Contour Dermatology and Cosmetic Surgery Center locations

  • Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

  • Moving about on foot to accomplish tasks (i.e. – going into patient rooms).

  • Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers.

  • Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discriminations in sound.

  • Expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
