Specific Job Requirements
- Work with City and County government officials, as needed
- Experience in assisting in the processing of tentative map and land planning applications
- Work with title, engineering and other consultants and TradePartners as needed to ensure timely follow-up
- Coordinate and prepare project tracking reports and schedules and filing systems at each project.
- Assemble information on projects.
- Property Tax – Assessments tracking at each project
- All bonds have been obtained or released as necessary
- Monthly bond report is prepared and sent to Walnut office by the third day of the month
- Contracts are prepared and distributed for signature and coordinated with area accountant
- Contract is entered in E1 and billing grid sheet sent to trade partner
- Coordinate budgets with area accountant
- Provide budget revisions to area accountant
- Invoices are stamped, coded, reviewed with Project Manager for approval, coordinated with area accountant and sent to A/P
- Any A/P questions from trade partners are researched and reconciled promptly and coordinated with area accountant
- Utility refunds are obtained in a timely manner, coded, and forwarded to accounting for deposit, coordinated with area accountant
- Utility refund report is reconciled monthly, coordinate with area accountant
- Mail has been retrieved, stamped, and distributed
- Correspondence is prepared and distributed as directed
- Meetings are attended as necessary
- All files and accounting binders are updated and current
- All plans are filed in the field office and the Community Development Office
- Maintain office supplies and general office management
- Maintain calendars and appointments

Professional Skills
- High School diploma; some college preferred
- Proficiency in Microsoft Office Suite, such as Word, Excel, E-mail, Scheduler, Exchange
- Two years experience in an office support position and preferably a forward planning department
- Prefer Real Estate, land planning and development experience
