Summary of Responsibilities:
Reporting to the Director of Sales, responsibilities and essential job functions include, but are not limited to, the following:
- Consistently offer professional, engaging and proactive guest service while supporting fellow Colleagues
- Prepare and process proposals, contracts and business travel requests for information as required
- Develop and implement e-mail campaigns to enhance guest customer relationship management (CRM) in both local and international markets
- Assist with preparation for Site Inspections, FAM Trips, trade shows, VIP arrivals and client events including coordinating calendars and attending functions as required
- Administer Resplus and FPC membership enrollments
- Update and maintain all client contact databases on an ongoing basis
- Develop and maintain close relationships with both local and major feeder market sales channels
- Compile, update and disseminate weekly, monthly, quarterly and annual reports as required
- Participate in and take minutes for all department meetings
- Coordinate purchase order requests, invoices submissions and monthly budget accruals as required
- Actively participate in industry and hotel training programmes and hotel committees
- Perform other job related duties and projects as assigned
Qualifications:
- Two to three years administrative experience is required, experience in a sales or marketing environment is preferred
- Bachelor degree in Hotel Management and/or equivalent experience working in the hospitality industry is a definite asset
- Strong computer literacy with MS Office programs (Excel, Word, PowerPoint, Outlook) is required
- Strong organization and time management skills and the proven ability to work efficiently in a demanding and fast paced environment
- Demonstrated strong interpersonal, oral communication and problem solving skills
- Demonstrated ability to compose grammatically and tonally correct correspondence
- Ability to understand and interpret basic financial data is an asset
- Proven ability to work cohesively as part of a team in a multi cultural environment
- Proven ability to focus attention on customer needs, remaining calm and courteous at all times
- Strong work ethic, highly responsible, reliable and the ability to work extended hours as necessary is required
Physical Aspects of Position (include but are not limited to):
- Sitting 6-8 hours a day
- Light Activity
