Administrative Support Coordinator II (ASCII)/ Palm Desert Campus - California State University San Bernardino - Palm Desert, CA





Reporting to the Dean of the Palm Desert Campus (PDC), the Administrative Support Coordinator II (ASCII) provides administrative support services to coordinate all aspects of his/her daily work routine which includes, but not limited to, maintaining calendars, drafting correspondences, and act as the primary liaison between the campus dean, administrators, faculty, staff, students, and community.

Principle functions and duties of the position include:


  • Arranges travel and meetings by developing itineraries and agendas; booking other transportation; arranging lodging and meeting accommodations.

  • Coordinates meetings with important dignitaries and guests of the Palm Desert Campus.

  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.

  • Prepares and edits correspondence, communications, and presentations.

  • Answers and manages incoming calls, emails, and PDC visitors and directs questions and/or information to appropriate campus resources.

  • Records, transcribes and distributes minutes of meetings.

  • Coordinate and maintain PDC filing system to ensure all project information is well documented and secured.

  • Incumbent will be expected plan and implement town hall meetings, open forms, and other campus events on behalf of PDC.

  • Works with Human Resources to address employment concerns.

  • Other duties as assigned by Dean of the Palm Desert Campus.

Minimum Qualifications

High School Diploma/GED and 5 years of clerical office experience. Bachelor’s degree is preferred but not required. Applicants must possess experience in using office software packages, technology, and systems. Applicants must possess a thorough knowledge of correct English, grammar, spelling and punctuation. The ability to draft and compose correspondence and standard reports is required. Applicant must have strong organizational skills, along with the ability to follow directions, take initiative, be flexible, have the ability to multi-task and independently make decisions on a day-to-day basis. Applicants must demonstrate the ability to maintain a high degree of confidentiality. Applicant must possess working knowledge of or the ability to quickly learn University infrastructure, policies and procedures. The ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those of sensitive nature is required along with the ability to work cooperatively with a diverse group of people.
