Job Summary:
Under direction, prepare, process and complete a diverse range of complex transactions; establishes control procedures in the audit and verification of
the accuracy and timeliness of student data processing input and output operations as it relates to the compilation of student attendance accounting.
Essential Job Functions:
- Conducts orientation and training programs for the purpose of communicating established board policies and state regulations to site personnel as
it relates to student attendance accounting.
- Develops and Generates various fiscal reports and documents (e.g., class-size averages, rates of attendance, instructional minutes, etc. ) for the
purpose of ensuring compliance with district, county and state regulations; provides daily, weekly, monthly and annual updates as needed to
provide management with an effective tool for monitoring student attendance and enrollment trends.
- Maintains fiscal information, files and records for the purpose of complying with established fiscal guidelines as determined by district, county
and/or state policies/procedures.
- Audits and reconciles student attendance and enrollment records to ensure accuracy, compliance and adherence to applicable district, county and
state policies/regulations.
- Analyzes problems and troubleshoots solutions; identifies errors in data and makes corrections or refers data to responsible party for correction.
- Prepares reports and findings of analyses to management, and other appropriate staff, including recommended corrections and improvements.
- Analyze, Prepare and Process various state attendance reports (e.g. Average Daily Attendance, Class-size Reduction, etc.) and enrollment data
for the purpose of updating information, ensuring fiscal accountability, and/or authorizing final action in compliance with district, county and/or state
policies, procedures and fiscal requirements.
- Serves as a resource to district and school-site personnel related to student attendance/enrollment rules, regulations and procedures for inputting
and retrieving data from the attendance software system.
- Research and resolve student attendance issues (e.g. monthly attendance registers, entry-withdrawal entries, attendance codes, etc.) in
accordance with district policies/procedures and state requirements.
- Performs a variety of technical duties without detailed supervision and exercises initiative and independent judgment in applying established
practices and procedures to specific cases.
Other Job Functions:
- Assists other department and site personnel for the purpose of supporting them in the completion of their work activities.
- Attends meetings as required for the purpose of maintaining skills and gathering and/or conveying required information.
Essential Job Requirements – Qualifications:
Skills, Knowledge and/or Abilities Required: Skill in the use of computers, calculators, spreadsheets and accounting and/or student attendance
software applications. Skill in maintaining accurate and auditable records and applying complex accounting practices. Skill to provide guidance and
direction to personnel. Skill in working with a diverse group of individuals and handling situations with tact, diplomacy and discretion. Knowledge of
fiscal and accounting rules and regulations, policies, and procedures. Ability to analyze problems and develop practical solutions, establish priorities,
work independently and accurately, problem solve, think logically with attention to detail.
Physical Requirements: Employees in this classification stand, walk, sit, use fingers repetitively, use wrists or hands repetitively in a twisting motion or
while applying pressure, use both hands simultaneously, have rapid mental/muscular coordination, lift moderately heavy objects; good speaking and
hearing abilities; bending at the waist, kneeling and crouching; reaching overhead, above the shoulders and horizontally; stooping; ascending and
descending stairs; sitting for long periods at a desk and in front of a computer. Persons with certain disabilities may be capable of performing the duties
of the classification; have the ability to occasionally lift moderately heavy objects weighing up to 52 pounds, frequently lift up to 5 pounds and constantly
lift a minimum of 5 pounds; have the capability to push 30 pounds maximum force and possess the capability to pull 30 pounds maximum force. Such
determination must be made on an individual basis by the District’s medical examiner, taking into consideration the nature of the disability, prosthetic aid
and the duties of this position.
Work Environment: Employees in this classification work inside with exposure to minor contagious illnesses (colds, flu, etc.) in direct contact with the
public and other District staff, without direct guidance from supervisor, with a high volume of work and tight deadlines, continuous changing priorities and
interruptions. May require exposure to extreme weather conditions for moderate periods of time. Other atmospheric conditions include Fumes/Odors:
Copier and copier products; paper dust generated from the use of paper goods, dust, etc.
Education and Training Required: Associate of Arts Degree or equivalent in Accounting or related field plus four (4) years of increasingly responsible
experience in student attendance, financial or statistical record-keeping, or six (6) years of increasingly responsible experience in student attendance
applications, financial or statistical record-keeping.
Licenses, Certifications and Testing Required:
- Fingerprint/criminal justice clearance.
- Tuberculosis clearance.
