Adminstrative Executive Assistant - JRNL TWO BUNCH PALMS - Desert Hot Springs, CA


Purpose:


Assist in carrying out the daily activities of the Human Resources office including recruitment, training and development, additionally he/she assists with the Sales department and Managing Director to perform administrative and office support activities to include fielding telephone calls, receiving and directing visitors, email correspondence, filing and data entry.


Essential Duties and Responsibilities:


Human Resources Duties;
~Assist with the new hire on board process to include paperwork processing and reference checks.
~Assist/Facilitate departmental training schedules for new associates
~Assist in maintaining effective Safety program (developing communication channels in the property and assists with regularly scheduled property wide monthly meetings)
~Assist with establishing and maintain contact with external recruitment sources
~Network with local organizations (e.g., Hotel associations and work development) to source candidates for current or future openings
~ Post positions online and on our internal website
~Prescreens applicants and conduct preliminary phone interviews of applicants. Coordinate interviews with department heads and Human Resources Director.
~Assist in maintaining bulletin boards in break rooms
~Maintain office supply orders and inventories


Sales Duties;
~ Answer phone and provide excellent customer service through Five-Star Standards.
~Marketing and Sales effort support
~Prepare documents as needed
~ Respond and take ownership of all client inquiries immediately


Executive Admin Duties;
~ Assist with the VIP Program
~Assist with comment card review and response
~Distribute out-going and inter-office mail and documentation throughout the hotel and mail room
~Compile, store, retrieve, and maintain management data in a neat and accurate filing system
~Maintain confidentiality of proprietary information and protect company assets
~Other duties as assigned


Minimum Qualifications:
Education & Experience
2-3 years administrative experience
Previous experience in an office environment
Microsoft Office skills


Skills & Ability
Excellent communication skills, both written & oral
Excellent customer service skills
Ability to organize and prioritize, meet deadlines, work with minimal supervision and multiple interruptions
Strong analytical and problem solving skills. Make decisions and take action based on direction, previous experience, and good judgement within guidelines.


Working Conditions:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
