Administrative Assistant will be responsible for undertaking special projects, completion of administrative/clerical tasks in the Finance Department.
Duties and Responsibilities:
- Works on special projects for the Management staff, as assigned.
- Develops and maintains organizational systems to be used by management staff for the oversight of clinic, staff and other resources.
- Recommends quality and/or process improvement initiatives, as they are noticed, in order to more effectively and efficiently perform their assigned tasks.
- Coordinates collaborative issues with directors from different departments and different locations across the organization in order to maximize the efficiency and effectiveness of the corporate team.
- Takes accurate minutes at assigned meetings.
- General administrative duties, to include typing, copying, faxing, scanning and printing.
- Other duties and responsibilities, as necessary, at the determination of Corporate Management.
- Uses tact, sensitivity and clarity in effective communication with visitors, co-workers and other staff.
Qualifications:
- Moderate to advanced abilities in both Microsoft Word Microsoft Excel and Office 365.
- A high level of comfort with technology and, if not already familiar with them, an ability to quickly become proficient with programs.
2 years of experience as an administrative assistant
Experience:
- Must possess excellent organizational abilities and be oriented towards detailed work and documentation.
- Must possess excellent writing skills which require minimal re-working or editing of final draft products.
- Must have superior oral and written communication skills.
- Experience working in a medical or behavioral health setting is preferred.
- The ideal candidate will be a self-starter who is able to work independently in an efficient manner to complete projects and tasks on deadlines.
Skills and Competency:
- The successful candidate will have excellent oral, written and social skills and will be able to utilize them in a professional manner at all times.
- They will also have excellent organizational skills and will have a proven ability to manage multiple tasks concurrently.
- They will be sensitive to religious, ethnic and cultural differences in others and show respect and empathy.
- The individual must have the skills, competency and professionalism to effectively and respectfully communicate with people at all levels of the organization, as well as with patients and external agencies.
- They must have a high level of interpersonal skills to handle sensitive and confidential information in an appropriate manner.
- Based on the projects currently underway, this individual will also be required to effectively understand and anticipate upcoming needs and work effectively to prepare for them. At times, this will include prioritizing conflicting demands and seeking counsel on the decision process as needed.
- The person will also be able to effectively work alone, but will not hesitate to appropriately ask questions and/or seek guidance in order to solve problems.
- The individual will have good time management skills and will be trustworthy and reliable in their support of Management.
