Riverside County was created from portions of San Bernardino and San Diego Counties on May 9, 1893. In the early history of the County, the Sheriff’s Office was a one-person operation.

Today the Sheriff is responsible for 7,310 square miles, spreading over 200 miles in length, and embracing approximately 50 miles in width. This territory constitutes the third largest County in the State of California. Vast changes have occured in Riverside County since its inception. The population, having increased from 13,745 in 1893, to more than 1,545,387 in 2000, ranks it sixth in population among California’s counties.


The Riverside County Sheriff’s Department is now the fourth largest Sheriff’s Department in California, with a staff of over 3,000 dedicated men and women.

Competitive candidates will have at least two to three years experience supervising clerical staff as well as extensive experience performing data entry and working with legal documents.


Under direction, supervises the activities of a unit performing specialized civil legal clerical support of Sheriff’s Court Services by preparing, processing, and tracking legal documents for numerous civil legal actions, and performs related duties as required.


Supervising Sheriff’s Court Services Assistants supervise lower level civil legal processing activities and perform the most complex civil legal processing assignments. Incumbents are expected to demonstrate a thorough understanding and coordination of civil legal documents preparation and processing through the Courts for litigants, attorneys, or other departments.

Supervises the processing of legal documents and records through the Sheriff’s Court Services process based on established procedure or special instructions from the courts, judges, or attorneys in case files; examines documents for conformance with established rules, standards and/or legal requirements.


Interviews and recommends hiring, conducts performance evaluations, disciplines employees, provides and develops training, writes and establishes procedures, represents Sheriff Court Services Assistant concerns in divisional management meetings.


Supervises the research and preparation of the very complex civil processes involving superior and municipal court litigations; coordinates with attorneys and County agencies in difficult civil litigation executions to ensure appropriate execution action is taken; acts as a liaison with vendors for software/hardware applicable to civil records; writes technical procedures to comply with legislative changes.


Supervises and resolves technical problems arising in the Civil Trust Accounting system. May also prepare accounts payable, accounts receivable, payroll, and the station annual budget.

Experience: One year of experience as a Sheriff’s Court Services Assistant III in Riverside County,


OR


Three years of fiscal or general clerical experience including two years of specialized legal services which included preparing and processing the full range of those legal documents required by the case file building process in a California legal office. One year must have included lead or supervisory experience.


Knowledge of: Supervisory practices; general office practices and procedures; civil legal terminology, procedure and processes; clerical work methods and techniques; legal and general record County of keeping systems and file maintenance methods; available office resource reference materials; specialized typing formats and legal documents used in are of assignment; grammar, spelling and punctuation; forms/formatting techniques and standard correspondence composition practices.


Ability to: Understand, interpret and apply laws, regulations, policies and procedures governing civil legal processing operations; research regulations, citations, case status, procedures and information from technical resource materials; prepare routine procedural documents outlining work methods; coordinate and perform activities in support of civil legal processes and services; evaluate unusual circumstances and resolve through the application of legal and standard operating procedures; perform routine legal research; communicate effectively both verbally and in writing; discover and correct errors in arithmetical computation, grammar, spelling and punctuation; lead the work of others in case/document processing activity and civil legal support services.
